AviosXR CRM

Terms of Use

Version: 2026-10-13

1. Who we are

AviosXR CRM (the "Service") is provided by AVİOS DANIŞMANLIK VE TİCARET ANONİM ŞİRKETİ, Kızılırmak Mah. Dumlupınar Blv. Nextlevel No: 3A İç Kapı No: 11, Çankaya, Ankara, Türkiye, MERSIS no. 0106154646000001, Çankaya Tax Office, tax number 1061546460 ("we", "us"). You can reach us at [email protected].

These Terms of Use (the "Terms") form a binding agreement between us and you as an individual user. If you create or join an organisation in the Service, you also accept these Terms on behalf of that organisation and confirm that you are authorised to do so. The Data Processing Agreement and the Privacy Notice form part of these Terms.

2. The Service

The Service lets an organisation manage its customers through the meetings it holds with them. Members upload transcripts of meetings that were recorded and transcribed outside the Service. The Service stores the original file, converts it into a structured transcript and, when the organisation chooses, produces an AI-assisted analysis draft (summaries, requirements, action items and answers to the organisation's questions), each backed by evidence from the transcript. Drafts are suggestions: a member must review and approve them before they become customer records.

3. Accounts and organisations

  • You must give accurate information, keep your password confidential and tell us promptly about any unauthorised use of your account.
  • You must be at least 18 years old and use the Service for business purposes.
  • An organisation's Owner and Admins decide who is a member and which role each member has. Members can only see the data of organisations they belong to.
  • You are responsible for everything done through your account.

4. Data you provide and your confirmations

The transcripts, customer names, questionnaires, organisation context, corrections and approvals that you or your organisation put into the Service are "Customer Data". Customer Data belongs to your organisation. Your organisation is the data controller for any personal data in Customer Data and we process it only on your organisation's instructions under the Data Processing Agreement.

Each time you upload or enter Customer Data you confirm that:

  • you and your organisation have the right to provide it to us and to have it processed as described in these Terms, including by the AI provider named in the Privacy Notice;
  • the meeting was recorded and transcribed lawfully, and the participants were informed about the recording, the transcript and its processing for the purposes of your organisation, as the law applicable to you and to them requires;
  • you have a valid legal basis (for example, a contract, a legitimate interest or consent) for processing the personal data of meeting participants and of the customers named in the transcript;
  • the data does not contain special categories of personal data (such as health, religious, biometric or criminal-record data) unless you have the specific legal basis that such data requires;
  • providing the data does not breach any confidentiality obligation, contract or third-party right.

You are responsible for the content, accuracy and lawfulness of Customer Data. If a meeting participant or other person exercises their data protection rights in respect of Customer Data, your organisation handles the request and we help as the Data Processing Agreement describes.

5. AI-generated content

Analysis drafts are generated automatically and can be incomplete or wrong. Model confidence shown in the Service is advisory. You must check drafts against the transcript evidence before relying on them. We are not responsible for decisions taken on the basis of unreviewed drafts. We do not use Customer Data to train AI models, and we instruct our AI provider not to store it for its own purposes.

6. Acceptable use

You must not:

  • upload content you have no right to share, malware, or content that is unlawful;
  • try to access another organisation's data or bypass the Service's security, roles, quotas or rate limits;
  • use the Service to send unsolicited messages or invitations;
  • reverse engineer the Service or use it to build a competing service;
  • use the Service in a way that could damage, overload or impair it.

We may suspend access that breaches these Terms or threatens the security of the Service or of other users.

7. Availability and changes

The Service is in an early phase. We aim to keep it available and secure but do not guarantee uninterrupted operation. We may change or discontinue features. We will tell you in the Service about material changes to these Terms; if you keep using the Service after accepting the new version, the new version applies. If you do not accept it, you may stop using the Service and ask us to delete your account.

8. Fees

The Service is currently provided free of charge. If paid plans are introduced, their prices, billing and refund terms will be shown and must be accepted before any charge. Free use until then is not affected.

9. Intellectual property

We own the Service, its software and its design. Your organisation keeps all rights in Customer Data and grants us only the rights needed to operate the Service for it. Analysis drafts and approved records produced from your Customer Data belong to your organisation.

10. Liability

Nothing in these Terms limits liability that cannot be limited by law, including liability for intent or gross negligence. Otherwise, to the extent permitted by law, we are not liable for indirect or consequential loss, loss of profit or loss of data that regular backups by you would have prevented, and our total liability in any twelve months is limited to the fees you paid us in the twelve months before the event giving rise to the claim, or EUR 100 if you used the Service free of charge.

11. Ending the agreement

You may stop using the Service at any time and ask us to delete your account at [email protected]. An organisation Owner may ask us to delete the organisation and its Customer Data. We may end these Terms on reasonable notice, or immediately for a serious breach. Deletion of Customer Data after termination follows the Data Processing Agreement and the Privacy Notice.

12. Governing law and disputes

These Terms are governed by the laws of the Republic of Türkiye. The courts and enforcement offices of Ankara (Central) have jurisdiction. Mandatory consumer or data protection rights that apply to you under the law of your country are not affected.
